How to Plan a Wedding Coffee Bar: Menu, Timing and Setup

How should you choose the service time, menu and setup spot for a wedding coffee bar? Venue coordination tips and a pre-quote checklist in one guide.

When planning a wedding coffee bar, the first decision may seem to be which coffees to serve. In reality, the service time, the position of the bar and the technical conditions at the venue all have a direct effect on your guests’ experience.

A coffee station used during the welcome has different needs from a bar that opens after dinner. Starting with the running order of the day, before the menu, makes planning much easier.

1. Choose When Coffee Will Be Served

You can serve coffee at different points of the wedding:

  • While guests are being welcomed
  • During the cocktail and mingling hour
  • After dinner or dessert
  • Later on in the celebration

You don’t have to use all of these at the same wedding. You can decide based on guest arrival times, the dinner schedule and how long the celebration will last.

Once you know when the coffee bar will be open, the team and supplies can be planned more accurately.

2. Confirm the Venue’s Rules on Outside Suppliers

Before booking a coffee service, check whether your wedding venue accepts outside suppliers.

Then discuss the following:

  • What time can the team access the space?
  • Where can the bar be set up?
  • Who will provide the power supply?
  • Which route will be used to bring in equipment?
  • How much time is there to pack down after service?

Rules vary between hotels, outdoor spaces and private event venues. Getting the venue manager and the supplier in touch beforehand reduces last-minute uncertainty.

3. Position the Bar Around the Flow of Guests

It helps if the coffee bar is easy to see, but it should not narrow entrances, the walkways between tables or the dance floor.

Think about where guests will stand to order, too. It is not enough for the counter to fit; the barista’s work area and a space for guests to wait also need to be considered.

For outdoor weddings, the suitability of the ground, shade and a backup plan for the weather should be discussed in advance.

4. Build the Menu Around Your Celebration

A selection that suits your wedding can be put together from options such as espresso, americano, cappuccino and latte. Iced coffees work well in hot weather, and Turkish coffee is a good option after dinner.

Ask these questions when choosing the menu:

  • Which hot and iced drinks are your guests likely to prefer?
  • What will be offered to guests who don’t drink coffee?
  • Would you like decaf or plant-based milk?
  • Will Turkish coffee be prepared at a separate station?

Rather than adding lots of options, a menu that fits the service time can make preparation and ordering easier.

5. Share the Busiest Moments, Not Just the Headcount

The number of guests matters, but if there is a moment when everyone is likely to want coffee at once, make a point of mentioning it.

For example, if coffee is served straight after dessert, demand may spike within a short window. The team plan and drinks menu should be considered with this schedule in mind.

Rather than fixing an uncertain number of cups to estimate demand, talk through the expected flow with your supplier.

6. Get the Scope of the Quote in Writing

Ask for items such as service hours, menu, team, cups, transport and setup to be set out in the quote. Also find out in advance how extra service will be handled if the wedding programme runs over.

If you would like decoration or personalised presentation, discuss the lead time and scope separately.

Final Checks for Your Wedding Coffee Bar

The date, address, setup time, service window and the venue contact’s details should be the same for everyone involved. Confirm any last changes to the menu before the event, too.
