How to Organise Coffee Service at a Trade Show Booth

Plan the space, menu, baristas and branding for your trade show booth coffee service, with a checklist covering setup and multi-day exhibitions.

A trade show booth coffee service is part of how you host your visitors. Planning it well takes more than deciding where the coffee machine will go. The ordering area, the barista’s work space, power supply and daily supply needs all have to be considered together.

Rather than leaving coffee until the final stage of booth preparation, building it into the layout from the start gives you a much sounder footing.

Decide What the Coffee Point Is For

First, be clear about who you will serve coffee to and when. A service open to every visitor has different needs from hospitality aimed at guests coming in for meetings.

You can start with these questions:

  • Will coffee be served throughout the whole show?
  • Are there specific visitor or meeting times?
  • Will your booth team be served from the same point?
  • Where will drinks be handed to visitors?

These decisions affect the menu, the team plan and where the coffee bar goes.

Make Room for Your Trade Show Booth Coffee Service

The bar should not block the booth entrance or access to meeting tables. Next to the counter, allow space for visitors who are ordering and waiting for their drinks.

The barista’s work area, with access to equipment and supplies, is part of the plan. Spots for collecting used items and restocking fresh supplies should also be decided in advance.

If the booth design is not yet finalised, sharing the dimensions with your coffee supplier helps the layout come together sooner.

Choose the Menu Based on Expected Demand

You can build a menu from options such as espresso, americano, cappuccino and latte. Bear in mind, though, that each drink is made differently and needs different supplies.

If you are expecting a lot of orders in a short time, choose the drinks selection with that in mind. If iced coffees will be served, discuss ice and storage in advance.

If you are considering plant-based milk and decaf options, share these requests before supplies are prepared.

Check Power and Technical Rules With the Organiser

Having a socket on the booth does not mean the connection is suitable for all the equipment being used. Get the equipment’s power requirements from the supplier and have them confirmed by the organiser or the authorised technical team.

Setup times, equipment access permits and any rules on water use should also be clarified beforehand. How cables will be managed across walkways should be covered in the booth’s technical plan.

Allow Time for Branded Cups and Bar Wraps

If you would like branded presentation, build design and production time into your schedule. Sharing logo files in the right format, pre-print approval and the delivery date should not be left until the last minute.

The number of cups, the surfaces the design will be applied to and the materials used should be written into the scope of the quote. Agree from the outset whether production can go ahead before visual approval is given.

Plan the Daily Routine for Multi-Day Shows

For events lasting more than one day, the initial setup alone is not enough. Each day’s opening preparation, restocking and closing routine need to be planned.

Find out whether the equipment can stay on site overnight, how supplies will be stored and what time the team can get in the next day. If visitor numbers are expected to vary from day to day, share this with your supplier too.

What Information Should You Send When Requesting a Quote?

You can start with the name of the show, the dates, booth location, space dimensions, daily service hours and expected visitor numbers. If available, add the booth drawing, menu preferences and any branding requests.

This information helps define the scope of the service and the technical requirements more clearly.
