Coffee catering is a service in which coffee is prepared on site at your event and served to your guests. Depending on the scope of the event, a mobile coffee bar, coffee equipment, baristas and drink supplies can all be planned together.
It works for weddings, corporate meetings, trade shows and private parties. Exactly what the service includes, however, depends on the provider and the package you choose. That is why, before you book, it is worth clarifying not only the menu but also who is responsible for setup and service.
How Does a Mobile Coffee Bar Work?
The process starts when you share the event date, location, number of guests and service hours. The venue space is then assessed and the drinks menu is agreed.
On the day, the equipment is brought to the venue, set up, and everything is prepared before service begins. The baristas make drinks during the agreed hours, and the equipment is packed away once service ends.
For all of this to run smoothly, the venue access time, power supply and conditions for carrying in equipment need to be known in advance.
What Can Be Included in the Service?
A coffee catering quote may include items such as:
- A mobile bar or service counter
- An espresso machine and grinder
- Barista service
- Coffee, milk and any other drink ingredients you choose
- Cups and the consumables needed for service
- Setup and pack-down

Don’t assume every quote automatically covers all of these. Needs such as transport, ice, water, a power solution or branding may be assessed separately.
Rather than going by the package name alone, ask for a written description of the products and services included.
Why Is Barista Service Part of the Plan?
As well as making the coffee, the barista manages the flow of orders and the work area. Which drinks are on the menu, how quickly orders need to be ready and how many people will come to the bar at once all affect how the team is planned.
For example, a party spread across the whole day and a meeting with short breaks do not call for the same service set-up. So deciding the number of baristas from the total guest count alone may not be enough.
Which Drinks Can Be on the Menu?
The menu can be built from options such as espresso, americano, cappuccino and latte. Depending on the season and the setting, iced latte, iced americano, Turkish coffee, hot chocolate and tea can also be considered.
If you would like plant-based milk or decaf, let the provider know in advance. It is also helpful to ask the provider for information on the products used, so you can answer guests’ questions about dietary preferences and allergens.
Coffee Catering vs Coffee Machine Rental: What’s the Difference?
With a machine rental quote, the core item may simply be the equipment. Who will make the coffee, who will supply the ingredients and who is responsible for cleaning are agreed separately.
With coffee catering, the equipment and the service operation can be planned together. Even so, you still need to check the scope. Asking “Is a barista included?”, “Who brings the supplies?” and “Is pack-down included at the end of service?” makes it easier to compare the two.
Which Events Is It Suitable For?
It can work as a coffee break at corporate meetings, an after-dinner treat at weddings, a booth service at trade shows or a coffee corner at private parties.
What matters is adapting the service to the flow of your event. Not every event needs the same menu, the same service time or the same bar layout.
Which Questions Should You Ask Before Booking?
Find out the service duration, menu, team size and technical requirements. Ask whether there is a limit on the number of drinks, how additional requests are charged and what happens if the event runs over.
